HOA board records checklist
A board needs a traceable record before it can evaluate an issue. Use this worksheet to identify what is available, who holds it and what remains unresolved.
Separate the documents from the conclusions
A collected document is evidence, not a conclusion about authority or compliance. Record its effective date, amendment history and custodian. Ask counsel to reconcile conflicting instruments before the board acts.
Connect the budget to the physical assets
List roads, drainage, utilities and amenities beside the entity responsible for each. Distinguish routine operating costs from replacement funding; a positive bank balance alone does not establish reserve adequacy.
Make unresolved items visible
Attach source references to each question. Record who will obtain a missing item and when the board will revisit it. Share appropriate records through the association’s established process and protect private owner information.
